Job Title:  Administrative Operations Assistant (Part Time)

Description:

Position is assigned to the Administration department located in the Port Angeles Main Library and works directly with the Library’s Financial Operations Manager. Individuals assigned to this position are responsible for performing a variety of job activities that support the Library’s Administrative Operations. Much of the work is confidential in nature.

Primary Duties

• Performs an array of clerical and accounting tasks supporting the library’s administrative operations;
• Processes daily cash receipts and transmits deposits;
• Records payroll, taxes and benefit payments into QuickBooks;
• Processes accounts payable and receivables; prepares voucher list and required reports; balances NOLS’ accounting records with those of Clallam County;
• Processes monetary donations and performs follow up;
• Maintains department supply inventory and orders and receives supplies;
• Manages Administrative Operations email lists, registrations, and memberships;
• Prepares, copies, scans, distributes, files, and stores a variety of office documents and records;
• Prepares, prints, distributes, and files reports and other documents as required;
• Maintains and disposes of records in accordance with State of Washington records retention schedule and in compliance with state and federal law;
• Follows established guidelines, assists in maintenance and organization of electronically stored files and documents;
• Collects statistics and other data;
• Assists with production and distribution of public communications;
• Backs up other Administrative Operations staff as required;
• Performs related duties as required.

Qualifications

• High school diploma or equivalent and some additional academic training; and
• At least one year of administrative operations experience including work in accounts payable, billing, records management, and general office support responsibilities.
• Demonstrated skills in administrative processes and tasks;
• Strong Excel skills;
• Knowledge of basic accounting principles and procedures;
• Experience with QuickBooks and/or other financial management systems;
• Experience in a public or governmental agency setting.
